CRM & automation

At a glance

Practical CRM architecture and lifecycle automation that connect customer data, marketing, and sales.

The opportunity

Roaring Media designs CRM and automation systems around how your organization attracts, qualifies, serves, and retains customers. We connect lead capture, clean customer data, team ownership, useful follow-up, sales workflows, and reporting—from first inquiry through onboarding and future engagement—within the technology and scope that fit your business.

What the work is designed to support

A clearer operating picture: structured records, defined ownership, more consistent journeys, and reporting your team can interpret. Results depend on the underlying data, systems, adoption, and agreed scope; revenue or attribution outcomes are not guaranteed.

A good fit for

Organizations managing leads and customers across disconnected tools, relying on manual follow-up, struggling with data quality or handoffs, or looking to make better use of an existing CRM without adding automation for its own sake.

Diagnosis

We map how inquiries enter the business, how teams work them, and what happens after a sale. We review CRM structure, data condition, ownership, consent and preferences, current workflows, connected systems, reporting, and the day-to-day habits behind them. Findings distinguish process gaps from tool limitations and identify what can be validated with available access.

Approach

We shape a fit-for-purpose architecture around your actual customer journey: record types and fields, lifecycle definitions, roles, permissions, pipelines, routing, scoring, and clear human handoffs. Journeys and messages are planned by channel and permission. Automation is used selectively, with useful exceptions and human review where judgment matters.

Delivery

Depending on scope and access, work can include platform configuration or optimization, data mapping and migration, forms and lead capture, workflow setup, integrations, reporting, test scenarios, documentation, and team training. We review customer-facing language and operational ownership before launch; appointments requested for a preferred time remain requests until your team confirms them.

Measurement

We agree on practical measures such as data completeness, duplicate rates, assignment and workflow health, lifecycle movement, pipeline visibility, and available campaign-to-outcome signals. Reviews surface exceptions and uncertainty rather than implying complete attribution. Improvements depend on data quality, platform capabilities, team adoption, and agreed scope.

Can you work with the CRM we already use?

Often, yes. We first review the platform, configuration, access, integrations, and business requirements to determine what can be improved and what the agreed scope should include. We do not assume a particular platform or capability.

Do we need to replace our existing CRM?

Not necessarily. We assess whether the current system can support the needed records, permissions, workflows, and reporting before recommending changes or a migration.

Can you clean up or migrate our customer data?

Data review, deduplication, field mapping, and migration planning can be included when access and scope permit. We agree on handling rules and validation checks before changing or moving records.

Can you connect our website forms and other tools?

We can assess suitable connections for forms and other relevant systems. Implementation depends on access, technology compatibility, consent, available documentation, and agreed scope; some tools or data flows may not be connectable as requested.

Can automation score and assign every lead?

We can design qualification signals and routing rules when reliable data and clear team criteria are available. Scores are prioritization aids, not definitive judgments, and workflows need an owner for exceptions.

Can a prospect book an appointment automatically?

A request for a preferred time is not a confirmed booking. Unless availability and conflict handling are implemented and your team confirms the appointment, customer-facing language should describe it as a request awaiting confirmation.

Can you automate email and SMS follow-up?

Email and SMS journeys can be planned separately around their respective permissions, preferences, systems, and scope. Permission to receive email does not imply permission to receive SMS, and workflows should respect available opt-outs and suppression information.

Can you guarantee revenue or complete campaign attribution?

No. CRM organization and reporting can improve visibility, but business outcomes depend on many factors. Attribution is limited by tracking coverage, data quality, connected systems, and offline activity, so reports should make known gaps clear.

Can you add AI or advise us on compliance?

AI assistance may be scoped for defined tasks with human review, subject to system access, technology, data, and safeguards; it is not assumed to run autonomously or continuously. We can account for agreed privacy and consent workflows, but legal requirements vary and should be reviewed with qualified counsel.
