Find the decision hidden in the workflow

A lead notification is easy to configure; deciding what qualifies, who receives it, and what happens if no one responds is harder. Document the rule, the accountable role, the exception path, and the information needed to act.

Interview the teams that send and receive the handoff. A process that appears obvious to marketing may leave sales uncertain about urgency, duplicate an existing task, or route a relationship to a queue no one monitors.

Automate only stable rules

Once ownership and criteria are understood, automate a narrow, observable step. Include safeguards for incomplete records, conflicting assignments, and out-of-hours events, and make it clear how a human can correct a wrong decision.

Track whether routing succeeds, how long reassignment takes, how often exceptions occur, and whether teams find the information useful. A count of triggered workflows says little about whether the customer’s experience improved.
